User field
To pick one or more people of the application: who a task is assigned to, who
reviews a request, who's in charge. If the person changes their name, the new
one shows everywhere.
Setting it up
- Label, Required and Help text, as in any field.
- Holds: One user or Many users. Once the form is saved it can't be
changed.
- Chosen from: a group, so only its members can be picked, or Anyone who
can see the application.
- Starts as whoever creates the record: if nobody picks someone else, the
record keeps whoever created it.
Where it shows
- On the form, as a list with a search box by name. If it holds many, each
person you pick is added above with a button to remove them. If someone no
longer has access to the application, they stay on the record marked (no
access), but can't be picked again.
- In a table, with the person's name. You can filter by a name or by one
person in particular, where Me is you: that way everyone sees their own
with the same filter.
- In the history, with the name, not a code.
- On boards and backlogs, the lanes or groups can go by person.
- Importing a CSV, the cell can hold the person's username, email or name;
several, separated by commas.
In the conditions of automations and transitions, ME() is
whoever does the action: [Owner] = ME() holds when the owner is that same
person.
Try it
There's no one to pick here, so the list is empty.
Good to know
- It can't go inside a dialog.
- The form's formulas can't read it; automations and transitions can.
- When someone loses access to the application, they stop getting its
notifications and approvals.
