Notifications

A notification tells you something about a record: what an automation said, or that someone mentioned you in a comment. They show up in the bell at the top, which counts the ones you haven't read and checks for new ones every minute.

In the bell

  • Following one opens its record and marks it read.
  • Mark all as read reads every one at once.
  • × archives it: it leaves the list but is kept.

Each says what it is about: the record's title when it was sent, and when.

Who is told

  • An automation with the Notify action tells whoever created the record, whoever made the change that set it off, users and groups chosen, and the addresses in the record's email fields. Its subject and message can include the record's data, like 'Sale ' & [folio] & ' paid', written as a formula. If the subject reads nothing, it's the automation's name.
  • A comment tells whoever it mentions as @username. Typing @ and a few letters offers users to pick from. Mentioning yourself tells no one.
  • An approval tells each step's approvers it waits on them, and whoever asked for it how it ended: approved, rejected with its reason, or canceled saying why. A withdrawn one tells the approvers it waited on.

Only those who can see the application are told, each once. What time sets off acts as Selfform, which is never told. One action can't tell more than 100 people and addresses at once.

By email

When Selfform is set up to send emails, a Notify with By email too, a mention and an approval also email those told who want it, in their language, with a link to the record. The addresses in the record's email fields get only the email, with no link, as they can't sign in.

In Notification preferences, at the bottom of the bell, you choose whether you get emails and in which language Selfform writes them. Until you change them, you get emails, in English.
