Views, bulk editing and archive
A table saves its filters and sort as views, changes many records at once and archives the ones no longer in use, without losing them.
Views
- View picks one of the saved views, or All records.
- Save as view saves the current filters and sort under a name; Update view saves the changes over the view picked.
- Open with this view makes the table open with it for everyone.
- Archive view takes it off the list; it's restored from Archived views.
- A filter with Me shows each person their own: one "My open items" view serves the whole team.
- Only the application's owner, or a guest who can edit pages, saves, renames or archives views; everyone else uses them.
Bulk editing
- Check the rows, or Select this page. With filters, also Select the N matching, up to 500.
- Set value puts the same value in a field of every one; left empty, it clears it. It works for text, numbers, dates, choices, checkboxes, users and relations holding one value.
- Change state moves them along the transitions: one that can't move stays where it is, and one needing approval asks for it.
- Each record changes on its own: it's told in its history and its automations run. A summary then says how many changed, how many already had that value and which couldn't change, and why.
Archiving records
- Archive takes the records out of tables, boards, backlogs, dashboards, calendars, searches and totals. Their history is kept.
- Show archived shows only the archived ones, to restore them.
- An archived record opens but can't be edited until Restore record; the relations pointing at it still name it.
- Archiving and restoring are told in the record's history.
